For more customised systems involving multiple user roles, dashboards, payment tracking, WhatsApp automation, booking flows, reporting, or internal approval processes, the timeline may be longer as more planning, testing, and refinement will be required. Before starting any project, we will first understand your current workflow, identify the manual processes that can be improved, and map out the required features clearly. Is training provided after the system is completed?

In the event that the service or contract is not continued, clients may request to retrieve their own business or customer data that was previously stored in the system, wherever technically possible. If the termination happens before the end of the agreed contract period, data retrieval can still be arranged, but an extraction fee may be incurred depending on the amount of data, format required, and work involved. This gives clients peace of mind that their important business information is not simply locked away without access. At the same time, it allows us to manage the technical work required for data extraction properly and fairly. Our aim is to build long-term systems that help businesses operate better, while still providing clear communication, practical advice, and reliable support throughout the working relationship.

Is ongoing support included after implementation?

Yes. Every system will come with a monthly maintenance fee to ensure that the system continues to run properly after implementation. Building the system is only the first part of the process. After the system goes live, there are ongoing costs and technical responsibilities involved in keeping everything running smoothly. The monthly maintenance fee helps cover essential operating costs such as server hosting, database usage, WhatsApp API costs, AI usage costs where applicable, system monitoring, and technical support. This means your company does not need to worry about managing the technical backend on your own. Your team can focus on using the system for daily operations, while we handle the necessary maintenance and support behind the scenes. The monthly maintenance fee also includes technical support, so your team knows exactly who to contact if there are any issues, questions, or concerns. This is important because a business system should not be left unsupported after launch. Can we request additional features in the future?

It is very common for businesses to start with one set of requirements and later realise that they need more features after using the system. For example, you may initially require customer management and payment tracking, but later decide to add automated reports, staff performance tracking, WhatsApp reminders, booking management, or integration with other tools. We design our systems with scalability in mind where possible, so future improvements can be added more smoothly. However, additional features will usually require further discussion, planning, development, and testing to ensure they work properly with the existing system. Before adding any new feature, we will first understand the purpose behind the request and advise whether it is practical, useful, and worth implementing. If the feature is beneficial, we will provide a quotation or estimate based on the work involved. Is our business information secure?

Yes. We take data security seriously and will put in place proper measures to help protect your business and customer information. Automation systems may store important information such as customer details, contact numbers, staff records, payment records, booking history, uploaded documents, internal notes, business reports, and other operational data. Because of this, security is an important part of how the system is planned and built. Depending on the system requirements, we can include security measures such as login authentication, role-based access control, protected admin accounts, secure database structure, restricted API access, and permission-based user roles. This helps ensure that users can only access the information and functions that are relevant to their role. For example, an admin user may be able to view and manage the full system, while a staff member may only be allowed to access the areas needed for their daily work. This reduces unnecessary exposure of sensitive business and customer data. We will also design the system with protection against unauthorised access in mind. This includes making sure that private data is not openly exposed, important routes are protected, and access is controlled through proper login and permission checks. These steps help reduce the risk of hacking, data misuse, or unauthorised users accessing your information. On top of the technical security measures, we also understand the importance of confidentiality. If required, a Non-Disclosure Agreement can be signed to give clients additional assurance that their business data, customer information, internal processes, and confidential materials will not be shared, leaked, or disclosed to outside parties without permission. That said, no digital system can be honestly described as 100% impossible to hack. Any company that promises this is not being fully realistic. What we can promise is that we will take reasonable and proper steps to build the system securely, reduce unnecessary risks, and handle your information responsibly. We also encourage safe usage practices from the client’s side, such as using strong passwords, limiting account sharing, giving access only to authorised staff, and removing access for employees who no longer require the system. Our goal is to protect your business and customer data as much as possible through proper system design, access control, confidentiality practices, and responsible data handling.

Do we own the intellectual property of the system?

The ownership of the system and intellectual property will depend on the agreement made before the project begins. In most cases, the system is provided as a customised software solution for your company’s usage. This means your business will have the right to use the system for its intended operations, while the underlying source code, framework, technical structure, reusable components, and intellectual property remain owned by the developer or service provider. This is similar to many software-as-a-service arrangements, where the client pays for the development, setup, usage, support, and customisation of the system, but does not automatically own the full source code or intellectual property behind it. However, if your company requires full intellectual property ownership, source code transfer, or exclusive rights to the system, this can be discussed separately before the project begins. Such arrangements usually involve a different pricing structure because it includes the transfer of technical ownership and development rights. We believe in being transparent about this from the start so there is no confusion later. The exact ownership terms, usage rights, support arrangement, and any restrictions will be clearly stated in the project agreement.
